Receiving orders, their statuses, and creating one manually

Everything about the order lifecycle: where new orders arrive, what each of the nine statuses means, which transitions are allowed, and how to create an order by hand.

Last updated: 2 min read

Every order your store receives appears under Orders → All Orders, with a badge next to the menu entry showing how many new orders are still unreviewed.

New orders reach you inside the dashboard through that list and its counter badge. There is currently no WhatsApp or SMS notification sent to you as the store owner when a new order arrives.

The nine order statuses

StatusWhen it applies
NewThe order just arrived and you haven't touched it
PendingYou're working on confirming it with the customer
ConfirmedThe customer confirmed the order
PaidYou received the money
Payment failedThe payment attempt did not succeed
ShippedThe order left for delivery
DeliveredIt actually reached the customer
CancelledThe order was cancelled
ReturnedThe customer sent it back

Which transitions are allowed

The system does not allow arbitrary jumps between statuses — each one has specific destinations:

FromCan move to
NewPending, Confirmed, Paid, Cancelled, Payment failed
PendingConfirmed, Paid, Cancelled, Payment failed
ConfirmedPaid, Shipped, Cancelled, Returned
PaidShipped, Delivered, Cancelled, Returned
Payment failedPending, Confirmed, Paid, Cancelled
ShippedDelivered, Returned
DeliveredReturned
Cancelled— (final)
Returned— (final)

Cancelled and Returned are final states: an order cannot be moved out of them into any other status. Be sure before you pick either.

Creating an order manually

Useful for orders that reach you by phone or direct message:

  1. On the Orders page press Create Order.
  2. Pick the products.
  3. Look up the customer if they already exist, or enter their details by hand.
  4. Fill in the customer and shipping forms.
  5. Check the summary panel, then save the order.

How order totals are calculated

Order totals are always recomputed on the server. Whatever happens in the browser, the authoritative value is the one the server derives from products, quantities and shipping rules — which protects your store from any client-side price tampering.
